Yes, through credit packs. Paying for a pack gives you bonus credit on top of what you pay, and the credit never expires. Weekly invoicing is also available on request for regular shops.

Will my customers see your name on the files or proofs?

No. Files carry no branding from us, so you can pass the proof and worksheet to your client as your own. We never contact your customers directly.

Can you match the settings of files my shop already runs?

Yes, within reason. Tell us in the order notes if you prefer lighter density, a certain underlay or specific trim settings, and attach an example file if you have one. Mention the same preferences on later orders so every file follows them.

What happens if a file puckers or registers badly on my machine?

Send a photo of the sew-out with the machine and fabric used. If the file was built for that machine and fabric, we fix it free under our sew-out guarantee, and refund the order if we cannot fix it.

How should I order a logo that goes on both shirts and caps?

Order the flat design at its shirt size and add a cap version to the same order. The cap version is re-sequenced and sized for the cap front rather than simply shrunk, so it sews without shifting on the frame.

Do I have to approve and pay for each design separately?

Each design has its own proof so you can check it on its own. Payment can come from prepaid credits, and regular shops can ask for weekly invoicing instead of paying order by order.

Why shops outsource embroidery digitizing

Digitizing is skilled, slow work, and it rarely fits neatly into a production day. When the person who digitizes is also the person who quotes, hoops and runs the machines, every new logo becomes a bottleneck. Many shops outsource embroidery digitizing for exactly that reason: they would rather spend their hours on production and sales, and pay a flat price for a file that is ready when the blanks arrive.

Good production files share a few habits, and they are the habits our digitizers follow on every order.

Built for the fabric on the order

The same logo needs different underlay, density and pull compensation on a pique polo, a fleece jacket, a structured cap and a towel. Tell us the fabric and garment in the order form and the file is built for it. If the same logo will also go on a very different fabric, order an extra version so each one runs well.

Clean sequencing and fewer trims

We plan the stitch path so the machine finishes one area before moving on, keeps color changes to the minimum the design needs, and avoids long jumps that leave trims across the garment. Caps are digitized from the center out and from the bottom up to keep the design from shifting on the frame, which is why a cap version of a flat design is a separate $6 add-on rather than a simple resize.

Formats for multi-head machines

Every order includes DST, the format read by Tajima and by most other commercial multi-head machines, along with EXP, PES, JEF, VP3, XXX, HUS and VIP. An editable Wilcom EMB working file is available on request. DST does not store thread colors, so the PDF worksheet gives your operators the color sequence to set up the heads. If you run a mix of commercial and single-head machines, one download covers all of them.

Keep your text legible. On most garments, lettering under about 0.25 in tall starts to fill in. If a logo has fine taglines at left-chest size, we will tell you on the proof and suggest a fix rather than send a file that will not sew.

Busy seasons bring piles of new logos at once: team orders, corporate uniform programs, holiday gifts. Bulk embroidery digitizing works the same way as a single order. Place each design as its own order so each one gets its own proof, its own revision thread and its own download, and they all sit in your dashboard side by side. If a large batch needs to be staggered to match your production schedule, tell us in the order notes and set the turnaround for each design.

Turnaround that fits a production schedule

Turnaround is counted from when you place the order. Standard is 24 hours. When a job lands late, rush is 12 hours for $5 more and express is 6 hours for $10 more. Our turnaround page explains how the clock works for quoted jobs.

Re-orders and your logo library

Repeat customers are the core of most shops. Every file we build stays in your dashboard, so when a client comes back for another run of shirts, you download the same file again instead of hunting through email. The saved logo library keeps each client logo together, and you can re-order a new size, a cap version or a small change from the original. Minor changes such as a thread color swap, a small text correction or a density tweak are free for 30 days after delivery. Resizing by more than about 20% is treated as a new size, because stitch counts, density and underlay all need to change.

White-label: your customers stay yours

We work behind your shop, not beside it. Files carry no StitchQuill branding, so you can pass proofs and worksheets on to your client as your own. We never contact your customers, and we never ask for their details beyond what is needed to build the file. When your client wants a change, you send it through the order messages and we handle it inside your account.

Upload the customer's artwork. JPG, PNG, PDF, AI, EPS, SVG, PSD and ZIP files are all accepted, including low-resolution logos.
Enter size, placement, fabric and turnaround. The price appears before you submit.
Get the proof in your dashboard and by email. Check the stitch simulation and worksheet, and ask for changes as often as needed.
Approve and pay with credits, PayPal or a bank payment from your business account (Zelle, ACH, wire or Wise). Files are released as soon as the payment is complete.
