Privacy Policy

We collect only what we need to make and deliver your files, we keep your artwork private, and we do not sell your information to anyone.

Who we are

StitchQuill (stitchquill.com) is an online embroidery digitizing and vector art service operated by 95 Solutions LLC. In this policy, "we", "us" and "our" mean 95 Solutions LLC, and "you" means anyone who visits the site or uses our services. If you have any question about this policy or your data, email support@stitchquill.com.

Information we collect

Account details

When you create an account (in the order form or on the registration page), we collect your name, email address and a password. You can also add a company name, phone number and country. Your password is stored only as a secure one-way hash, so we cannot read it. If you tick the box to receive occasional news and offers, we record that choice, and you can change it at any time in your account settings.

Artwork, files and order details

When you place an order, we store the artwork and any other files you upload, along with the order details you enter: design name, size, placement, fabric, machine formats, turnaround and notes. We also store the files we create for you, such as proofs, PDF worksheets and finished stitch or vector files.

Messages

We keep the messages you send through your dashboard, the contact form or email, and our replies. This lets us keep a clear record of what was asked for on each order.

Live chat and WhatsApp

If you use the live chat, we keep the messages, any files you send, the name and email you give, the page you started from and an approximate country. Your browser keeps a random chat ID in local storage so the conversation continues from page to page. It is not a cookie, and it is cleared when you start a new chat. If you message us on WhatsApp, WhatsApp's own privacy policy also applies to that conversation.

Payment information

Card and PayPal payments are handled by PayPal. When you pay, you are sent to PayPal to complete the payment, and you can pay with a PayPal balance or a card through PayPal. We never see or store your card number. PayPal tells us whether the payment went through, the amount and a transaction reference, and we keep that record with your order and invoice. PayPal's own privacy statement applies to the information you give PayPal.

If you pay by Zelle, bank transfer, wire or Wise, you send the money from your own bank or Wise account, and we do not collect your login or card details. To match the payment to your order, we keep the name on the paying account, the confirmation or reference number you give us and, if you upload one, the receipt screenshot. We also see whatever your bank or Wise passes to us with the payment, usually the sender's name and the amount. The receipt is stored in private storage with your order, only our team can open it, and we recommend hiding any full account numbers before you upload it.

Visitor analytics without cookies

We measure how the site is used with our own cookie-free analytics. For each page view, we record the page address, the referring website (if any), the general device type, browser and operating system, and an approximate country. The country is looked up from your IP address at the moment of the visit, and the IP address itself is never stored.

To count unique visitors, the system creates an anonymous ID from a combination of a secret value, the date, your IP address and your browser type, passed through a one-way hash. That ID changes every day, cannot be turned back into your IP address, and cannot be used to follow you from one day to the next or across other websites. Visits from our own team are left out of these figures.

Google, Microsoft and Meta tools

To see which pages and ads bring orders, we may also use Google Analytics, Google Ads and Microsoft Advertising conversion tracking, Microsoft Clarity (which records clicks and scrolling with form fields masked) and the Meta pixel. These services set their own cookies and receive information such as the pages you view, your device and your approximate location. You can opt out with Google's Analytics opt-out browser add-on, your Google and Meta ad settings, or by blocking third-party cookies in your browser.

Cookies

Ordinary visitors browsing the site do not receive any cookies from us. We set one cookie only when you use the order form or your account area: a session cookie that keeps you signed in and protects your forms against misuse. It contains a random identifier, not your personal details, and it is deleted when you log out or close your browser. Because this cookie is strictly necessary for logging in and ordering, it does not require a consent banner. PayPal may set its own cookies on its pages while you complete a payment, and the Google, Microsoft and Meta tools described above set their own cookies.

How we use your information

  • To create and manage your account and dashboard
  • To digitize, convert or redraw your artwork and deliver the files
  • To send proofs, order updates, quotes, receipts and replies to your messages
  • To take payment and keep accounting records
  • To fix problems, handle revisions and deal with guarantee or refund requests
  • To keep the site secure, for example by limiting repeated failed login attempts
  • To send occasional news or offers, only if you opted in

Where UK or EU data protection law applies, our legal bases are: performing our contract with you (orders and accounts), our legitimate interests (security, basic analytics and improving the service), legal obligations (tax and accounting records) and your consent (marketing emails, which you can withdraw at any time).

How we protect your artwork and files

Your artwork belongs to you, and we treat it that way. Uploaded artwork and finished files are kept in private storage on our server that cannot be reached by a public link. They can be opened only by you, when signed in to your account, and by our team members who work on your orders. We do not publish your designs, share them with other customers or use them in our portfolio unless you give us written permission.

The site uses encrypted HTTPS connections, passwords are hashed, and repeated failed login attempts are limited. For those limits we keep a short-lived hashed record, not your actual IP address. No system is completely secure, but we work to keep your information protected and will tell you promptly if a security problem affects your data.

Our free DST viewer works entirely in your browser. Files you open in it are never uploaded to us.

Who we share information with

We do not sell, rent or trade your personal information. We share it only with the services we need to run the business:

  • PayPal, to process card and PayPal payments and refunds
  • Our bank and Wise, which receive bank payments and send refunds for them
  • Our web hosting provider, which stores the site and its data and sends our email notifications (order confirmations, proof notices, password resets and replies)

We may also disclose information if the law requires it, or to protect our rights in a dispute. If the business is ever sold or transferred, your information would move with it under the same protections described here.

How long we keep information

  • Account, orders and files: kept while your account is open, so you can download and re-order your designs at any time.
  • Copies of the emails we send: deleted automatically after 180 days.
  • Payment and invoice records: kept for as long as tax and accounting rules require, even after an account is deleted.
  • Analytics: contain no names, email addresses or IP addresses.

Deleting your data

You can delete logos from your saved library in your dashboard at any time. To close your account and delete your personal information, artwork and files, email support@stitchquill.com from the address on your account. We will confirm the request and complete it within 30 days, keeping only the payment records we are legally required to keep.

Your rights (UK and EU)

If you are in the United Kingdom or the European Union, you have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your information
  • Object to or ask us to limit how we use it
  • Receive your information in a portable format
  • Withdraw consent for marketing emails at any time
  • Complain to your local data protection authority (in the UK, the Information Commissioner's Office)

Customers in other countries can make the same requests, and we will handle them the same way. We respond to all requests within 30 days. Our servers and business may be located in the United States, so your information may be processed there.

Children

Our services are meant for businesses and adults. We do not knowingly collect information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

If we change how we handle personal information, we will update this page. For significant changes, we will also email account holders. For questions or requests, contact support@stitchquill.com. See also our terms of service and refund policy.
